OVERVIEW
Project overview
Our client, a large pharmaceutical manufacturer in Eastern Europe, relied on manual documentation and disconnected systems to manage laboratory experiments. Researchers recorded material usage, equipment readings, and experiment results separately, creating inconsistencies and increasing the risk of data loss.
VARTEQ's team implemented LIMSys, a customized laboratory information management system (LIMS) that connects laboratory equipment, automates experiment tracking, and centralizes research records. The platform also includes a chemical knowledge base built using PubChem data, giving researchers access to compound information within their daily workflows.
WHERE THEY STARTED
The challenge
The laboratory needed to reduce manual record-keeping while improving the accuracy, accessibility, and security of experiment data.
Manual experiment documentation
Researchers recorded experiment details and material usage by hand. Information was often entered after experiments were completed, creating gaps between laboratory activity and the corresponding records.
Disconnected laboratory equipment
Laboratory devices operated separately from documentation systems. Instrument readings required manual transcription, increasing the risk of errors and inconsistent experiment records.
Fragmented research data
Experiment journals, material logs, and chemical reports were stored separately. Teams lacked a single source of information for research and compliance activities.
Limited chemical reference access
Researchers had no centralized chemical knowledge base. They needed to search external resources independently, adding time to experiments and creating inconsistencies in reference information.
Data security and access risks
Manually managed records increased the risk of data loss and unauthorized access. The laboratory needed controlled access, secure storage, and reliable audit records.
WHAT WE BUILT
The solution
Automated experiment tracking
A customized laboratory information management system that records experiment activity, material usage, equipment data, and results in real time.
- Replaced manual experiment documentation with automated tracking
- Captured material usage and experiment results throughout the laboratory workflow
- Implemented continuous processing of incoming laboratory data
- Connected experiment records with equipment readings
- Supported real-time reporting and access to experiment information
Laboratory equipment integration
Direct connections between existing laboratory devices and the LIMS platform, reducing the need for manual data entry.
- Integrated the facility's existing laboratory equipment
- Automated the transfer of instrument data into experiment records
- Reduced manual transcription of equipment readings
- Improved consistency between laboratory measurements and recorded results
- Tested device data integrity before deployment
Centralized experiment journal
A shared system for managing experiment records, material logs, and chemical reports.
- Consolidated laboratory documentation into one platform
- Created structured experiment records accessible to authorized teams
- Connected material usage, equipment data, and experiment results
- Reduced inconsistencies caused by separate documentation systems
- Supported research continuity and compliance-related record management
Chemical knowledge base
A structured chemical reference database built using information sourced from PubChem.
- Extracted chemical compound data from PubChem
- Organized compound information for use within the LIMS platform
- Made chemical reference data accessible during experiment workflows
- Reduced the need to search external sources for basic compound information
- Supported more consistent access to chemical reference data across research teams
Security, access controls, and deployment
Security and data management features built into the platform, followed by testing, staff training, and deployment.
- Implemented user-level access controls
- Added secure data storage and audit trails
- Applied security controls to laboratory records and workflows
- Tested experiment tracking, device integrations, and data integrity
- Worked with laboratory personnel throughout requirements gathering and validation
- Provided staff training before final deployment
- Completed development and deployment within the planned six-month schedule

WHAT CHANGED
The outcome
- Experiment efficiency increased threefold after automated tracking and equipment data collection reduced manual documentation work.
- Laboratory equipment was integrated directly with experiment records, reducing transcription errors and improving data consistency.
- A centralized experiment journal replaced fragmented documentation, giving research and compliance teams access to shared experiment records.
- Secure storage, user-level access controls, and audit trails addressed risks associated with unauthorized access and data loss.
- The PubChem-based chemical knowledge base gave researchers a consistent source of compound information within the platform.
- The project was completed on schedule, following two weeks of initial research and planning and a six-month development and deployment cycle.
The implementation brought laboratory equipment data, experiment documentation, and chemical reference information into one system. Researchers gained more reliable access to experiment records, spent less time on manual documentation, and could manage laboratory workflows with improved data consistency and security.
