This Privacy Policy explains how VARTEQ Inc. ("VARTEQ", "we", "us" or "our") collects and uses personal information when you visit varteq.com, contact us about our services or apply for a position. It applies to our public corporate website, not to software products operated by our clients under their own privacy policies.
1. Who we are
VARTEQ Inc. is responsible for personal information submitted directly through the website's business inquiry and career application forms, subject to any specific legal arrangements described to you separately.
Postal address: 233 S Wacker Dr, Suite 8400, Chicago, IL 60606, USA
Privacy questions and requests: Contact form
2. Personal information we collect
Business inquiries
When you contact us, we receive the information you provide, such as your name, business email, company, phone number and message. We also receive related correspondence needed to evaluate and respond to your inquiry.
Job applications
When you apply through our Careers page, we collect your name, email address, selected role, CV and any profile link or message you provide. Applications and CVs are delivered directly to our HR team. Access to candidate data is limited to personnel with recruitment responsibilities.
How the website handles form submissions
The website server checks each submission and sends it by email to the responsible VARTEQ mailbox. The website itself does not keep a copy of your message or your CV. It keeps an uploaded file only in memory while it checks and sends it.
Please do not include sensitive health information, government identification numbers, passwords or other unnecessary personal data in application files or general inquiries.
Website activity and technical data
Our hosting and website systems may process IP addresses, browser and device information, requested pages, referral URLs, timestamps, diagnostic information and security logs. To protect our forms from automated abuse, Cloudflare Turnstile checks information about your browser and device on pages with a form. When you send a form, our server sends the check result and your IP address to Cloudflare to confirm it. Some articles contain a YouTube video in privacy-enhanced mode. When the player loads, YouTube receives your IP address and browser information. We also use website measurement technologies as described below and in our Cookie Policy.
3. How and why we use information
| Purpose | Data used | Legal basis where GDPR applies |
|---|---|---|
| Respond to business inquiries and discuss a potential project | Contact and inquiry details, correspondence | Our legitimate interest in responding to professional requests; steps prior to a contract when applicable |
| Review job applications and communicate with candidates | Application details and recruitment correspondence | Steps prior to a contract when applicable; legitimate interests in evaluating applicants, subject to local employment law |
| Maintain and secure the website, detect misuse and troubleshoot errors | Technical and security records | Legitimate interests in operating and protecting our website and services; legal obligations when applicable |
| Protect forms from spam and automated submissions with Cloudflare Turnstile | Browser and device signals, IP address | Legitimate interests in protecting our website and mailboxes |
| Show videos in articles with YouTube's privacy-enhanced player | IP address and browser information received by YouTube | Legitimate interests in presenting our articles |
| Measure website use through Google Analytics 4 | Usage and device data collected by the tag | Consent |
| Connect website visits with an inquiry through HubSpot, if we turn it on | Visits and cookie identifiers collected by HubSpot | Consent |
| Meet legal obligations or handle disputes | Relevant business, recruitment and technical records | Legal obligation or legitimate interests, as applicable |
Business inquiries are not automatically added to promotional email lists. If we introduce marketing email subscriptions, we will provide a separate, appropriate opt-in and a way to unsubscribe. Submitting a Contact form or a job application is not itself consent to marketing emails.
4. Cookies and analytics technologies
The website uses Google Analytics 4 for analytics. If we turn it on, it also uses HubSpot for marketing. We do not use advertising pixels.
Our site has a cookie consent banner. Google Analytics and HubSpot load only after you allow the relevant category. You can review your choices through the website's Cookie Settings control. For categories, provider details and more information, see the Cookie Policy.
Consent choices do not prevent our systems from using strictly necessary technologies required to deliver and protect the website.
5. Who receives information
We share information only as reasonably necessary for website operations and the purposes described in this Policy. Recipient categories include:
- Authorized VARTEQ personnel, including the team that responds to inquiries and HR staff who review applications.
- Website hosting: Hetzner Online GmbH, which operates our servers in the European Union and our image storage in Nuremberg, Germany.
- Network and security: Cloudflare, Inc., which delivers the website, protects it from attacks and checks form submissions (Cloudflare Turnstile).
- Email and technical service providers used to deliver form submissions.
- Google, for Google Analytics 4 when you allow analytics, and for YouTube videos in articles.
- HubSpot, Inc., if we turn on HubSpot and you allow marketing cookies.
- Professional advisers, public authorities or other recipients when required by law or necessary to establish or defend legal rights.
We do not provide a payment checkout through varteq.com and do not ask visitors to submit credit card information through this website.
6. International data transfers
Our public website is hosted by Hetzner in the European Union, and Cloudflare delivers it through its global network, which includes the United States. VARTEQ is based in the United States, so information you submit through the website may be processed there. Other service providers, including Google and HubSpot, may also process information outside your country.
Where applicable privacy law requires a transfer mechanism or additional protection for international transfers, we use the relevant legal and contractual safeguards that apply to the service and data involved. Use our Contact form for information about the safeguards relevant to your information.
7. How long we retain information
We keep information for as long as needed for its stated purpose, subject to applicable legal obligations and legitimate claims. We apply the following retention limits, subject to the exceptions described here:
- Business inquiries: up to 24 months after the last substantive interaction, unless there is an active business relationship or a lawful reason for a longer period.
- Unsuccessful job applications: up to 12 months after the relevant recruitment process ends, unless a lawful retention obligation applies or the candidate agrees to a separate talent-pool arrangement.
- Security logs: ordinarily up to 90 days, with longer retention only when reasonably required for an active security incident, investigation or legal duty.
- Analytics and marketing cookies and consent records: according to the settings of the relevant tool. Our Cookie Policy lists each item and its lifespan.
When a retention period expires, we delete or de-identify information, subject to backup cycles and lawful exceptions.
8. Your privacy choices and rights
Depending on where you live and the laws that apply, you may have the right to access or correct your personal information, request deletion, object to or restrict certain processing, request a portable copy, and withdraw consent where processing relies on consent. Some jurisdictions also provide rights concerning targeted advertising, sale or sharing of personal data. We do not sell personal information.
To exercise a right, use our Contact form. We may need enough information to verify your identity and locate your records. We will respond within the timeframe required by the applicable law. Where applicable, you may also complain to a competent data protection authority or regulator.
For cookie-based technologies, use the Cookie Settings control to change or withdraw your choice at any time. Your browser may provide further privacy controls.
9. Security
We use administrative and technical measures appropriate to the nature of the information involved, such as HTTPS for all pages, access restrictions, automated-abuse checks and controls around website forms and file delivery. No internet transmission or storage system can be guaranteed risk-free. For information about security in a prospective project, contact us.
10. Children's privacy
This corporate website is intended for business and professional audiences, not for children. We do not intentionally solicit personal information from children through the site's public business and recruitment forms. If you believe a child has supplied personal information, please contact us so we can review the matter.
11. Changes to this Policy
We may update this Privacy Policy when our website, service providers or legal obligations change. The date shown above identifies the latest published version. Where required, we will provide additional notice or obtain consent.
